Overview

The Assistant Property Manager supervises and supports a regional portfolio of facility, office, retail, apartment, or similar commercial or residential spaces. The Assistant Property Manager is expected to travel to conduct site visits and inspections, to be hands on in performing work, to supervise and coordinate on-site staff and contractors/vendors, execute a preventive maintenance program, procure materials, supervise day-to-day maintenance and janitorial duties of the property, and perform budget tracking.

 

This person is also expected to determine the need and extent of service, equipment required, type and number of operation and maintenance personnel needed, and to perform and assign work. Must be committed to enhancing operational efficiency, driving revenue growth, and fostering strong client and tenant relationships while ensuring compliance with local laws as well as industry regulations and standards. Establish excellent relationships with all tenants to quickly resolve needs that may arise and maintain the highest levels of tenant satisfaction. Proactive extrovert that enjoys and excels at fostering relationships and a community environment.

Responsibilities

  • Responsible for the routine, scheduled maintenance & on-call work orders for a regional portfolio of buildings in the greater NYC area.
  • Inspects facility or building equipment daily to determine need and extent of service, cleaning or maintenance required.
  • Prioritizes work to ensure building occupant’s needs are met in a timely fashion and assigns work requests to appropriate personnel to perform required maintenance, servicing and repairs. May also perform some repairs and servicing.
  • Respond to tenant requests and needs and coordinates with Property Management and building staff to resolve the issues.
  • Visits with building occupants to ensure that their needs are met and solicits suggestions for improvements.
  • Coordinate and participate in training on maintenance, safety, equipment and systems.
  • May directly or indirectly supervise both skilled (plumbing, carpentry, painting, electrical, mechanical, maintenance) and unskilled staff (cleaning, moving, dispatch, security) and assign them to perform facility/building and site maintenance, repairs, cleaning, and servicing.
  • Develops, implements, and oversees a preventive maintenance program for all facilities and equipment.
  • Coordinates, oversees, and directs vendors and contractors performing servicing, repairs, and construction on site.
  • Compiles records of labor and material cost for operating building and issues cost reports to supervisor.
  • Maintain, open and close buildings work orders in the department’s computerized maintenance management system (CMMS).
  • Respond to and direct emergency response to portfolio critical incidents.
  • Monitor & enforce terms of all lease agreements, the billing & collection of rents and other tenant charges in compliance with leases
  • Assist with the selection and performance of vendor services, including preparation of requests for proposals and service agreements.
  • Monitor vendor performance to ensure compliance and standards established in the service agreement are being met.
  • Assist with coordination and supervision of building staff, including oversight of scheduling and facilitating maintenance with engineers, janitorial staff, and third-party vendors.
  • Create purchase orders and track, code and process invoices using accounting system.
  • Assist and coordinate preparation of client monthly management report package.
  • Document and track all certificates of insurance from vendors and tenants.
  • Maintain accurate and pertinent information for vendors and tenants.
  • Prepare correspondence and memos to tenants and vendors.
  • Establish and maintain positive relationships with internal and external tenants and vendors.
  • Perform other related duties as requested.

Qualifications

  • Bachelor’s Degree, preferably in business, real estate, or finance
  • Candidate will possess a minimum of three years related experience
  • Strong understanding of financial terms and principals and have the ability to analyze and conduct complex financial and business decisions
  • Proficient in Microsoft Word and Excel
