Overview

Responsible for the financial and operational functions of the portfolio in Florida and surrounding submarkets. Manage a portfolio of properties, property management personnel and supervises and oversees the Property Management business development for the Florida market, reporting directly to the Managing Director and the Regional Principal for REMS in the region.  Acts as liaison to property owners, tenants, contractors, and the Avison Young team.  Skill set includes property management, employee relations, financial and accounting oversight, client/tenant interactions, business development, and construction project management.

Responsibilities

PRIMARY DUTIES

  • Lead the business development and profitability in the Market for revenue and bottom-line profit. Sourcing and developing relationships with decision makers leading to business development. Soliciting, preparing, and responding to proposal requests.
  • Collaborating and building relationships with and actively seeking referral business from other company service lines and offices.
  • Developing and implementing staff planning and management development programs to meet the ongoing management and professional requirements, as well as ensuring that trained, capable personnel are provided as a continuous product of such programs at all levels of the Market for promotional progression. Coordinating the hiring of managers and qualified staff personnel.
  • Financial Responsibilities: Develop the annual market budget. Reviewing and evaluating the Market’s performance continuingly and establishing proper measures of performance and variance to plan.
  • Responsible for the planning, budgeting, and control of operating and capital expenditures. Manages preparing annual budgets, forecasts, monthly reports, and variance reports.
  • Supervises the accounts receivable and accounts payable process, including collection of rent, accruals, payment of expenses, common area maintenance estimates, true-ups, reconciliations, compliance with lease terms, and preparation of all related documentation.
  • Responsible for the compliance of all tenant lease agreements to ensure all obligations of the Landlord and Tenant are being met.
  • Responds to tenant requests and needs and coordinates with the Property Management and Building Staff Teams to solve the issues.
  • Oversee the selection and performance of vendor services, including the preparation of requests for proposals and service agreements.
  • Monitor vendor performance to ensure compliance and standards established in the service agreement are being met.
  • Supervise scheduling and facilitating maintenance with vendors and tenants.
  • Create and maintain client relationships, maintaining trust and confidence in Avison Young’s capabilities.
  • Perform property inspections on a regular basis and make recommendations to maintain and enhance the asset.
  • Supervises the compliance of property safety standards, conducts or oversees Fire and Life Safety training, and maintains the building emergency response plans and procedures, along with their related compliance documentation.
  • Supervises and manages team members to ensure that exceptional performance is achieved. The Property Manager is responsible for setting and attaining performance goals, as well as for the development, coaching, and counseling of the team members
  • Manage, recruit, lead and mentor the markets REMS team, driving Avison Young’s culture and advancing the teams opportunities
  • Brand elevation through involvement with BOMA, IREM, NAIOP, or other similar organizations, including panel, speaking, and other opportunities to highlight Avison Young REMS in the market.

ORGANIZATIONAL RELATIONSHIPS

This position reports directly to the Managing Director and collaborates with the Regional Principal for REMS in the region.  Direct reports are Property Managers and Building Engineers. 

External Relationships: Frequent contact with tenants, clients, owners, contractors, vendors/suppliers, representatives of other businesses, and members of the community. Coordinates the end-product of outside contractors and their staff working on-site. Involvement in the real estate professional community is a plus in this position.

Internal Relationships: Contact within the department and with other AY staff at all levels. The Manager must be effective with a range of staff that is not under the manager's authority.

 

RESPONSIBILITIES

  • Level of client and supervisor's satisfaction. The portfolio performance meets or exceeds its annual financial/operational goals.
  • Completion of timely and accurate annual budgets, monthly financial reports and variance analysis. These reports should provide the client with a high quality and thorough understanding of the status of a property.
  • Creativity and innovation in developing new approaches to enhance the value of a property.
  • Optimum use of resources, cost-effective methods/procedures and cost-reduction efforts as balanced by activities related to expanding property revenues.
  • Dependability and acceptance of increasing responsibility, as measured by either successful management of larger portfolios or more complex portfolios.
  • Success at working with a wide range of clients, co-workers, vendors, and tenants. Level of professionalism displayed in work relationships.
  • Success at working with minimal management attention and achieving the needed results with ease, speed, and quality.

Qualifications

  • Bachelor’s degree in Business Administration, Real Estate, or Finance-related field; Master’s Degree preferred
  • CPM and/or RPA designation
  • Candidate will possess four to seven years of related experience
  • Minimum 10 years’ experience in property management, marketing, and leasing of office buildings
  • Previous experience should include senior management experience with a third-party management firm, owner or developer of “Class A” property in a major metropolitan area, and management business development
  • Strong skills in the following areas: business management, human relations, financial analysis, budgeting, relationship building, time management, planning and organizing, written and verbal communications
  • Broker or salesman license as required for property management in the state where business is transacted
  • Ability to analyze and conduct complex financial and business decisions
  • Preferred experience with Yardi and Kardin accounting software
  • Ability to effectively resolve situations or complaints from clients, tenants, employees, or management
  • Proficient in Microsoft Word, Excel, and Smartsheets
  • Ability to express ideas clearly in written and verbal communications, with the capability to create complex financial and business-related documents
  • Strong organizational skills and detail-oriented
  • Proven record of providing excellent internal and external customer service
