Overview

Responsible for pre-construction project management from pre-lease and planning phase through construction delivery. Responsible for the day-to-day contact with the client and for meeting project fiduciary and schedule requirements. Guide client through project by giving them the information to make informed, intelligent decisions. Work in collaboration with management staff, clients, owners, and vendors. Assist in the development of a high performing innovative Pre-Construction team. Works with Client Relations, Workplace Strategy, FF&E, Design, and Project Delivery to ensure projects meet their sales, revenue, and GP targets.

Responsibilities

Key Tasks and Responsibilities:

  • Project Responsibilities
    • Responsible for multiple, simultaneous projects, managing internal and external resources.
    • Leading the integration of disciplines (strategy, client relations, business development, marketing & communications, design, project delivery) to enable the effective delivery of our Studio Project methodology.
    • Driving project delivery best practices, coordinate processes and technology to achieve culture of excellence for assigned projects.
    • Developing and overseeing accurate quantity take-offs for client budgeting.
    • Overseeing and maintaining progressive budgeting for clients.
    • Maintaining constant financial communication with them as the design proceeds.
    • Prepare pre-contract pricing including all necessary quotes to ensure accuracy in bidding and maintaining GP.
    • Create Requests for Proposal (RFP) as needed for all CSI divisions.
    • Overseeing sub-trade bidding and ensuring sufficient number of trade quotes are received.
    • Review and level RFP bids and proposals.
    • Manage project, program, schedule, and cost including agenda/minutes with weekly issues.
    • Preparing contracts and reviewing in detail with Client and Legal team.
    • Responsible to hand off an accurate and complete tender summary or at above GP budget as set with management to order processing but staying financially responsible through the whole project.
  • Business Development Responsibilities
    • Overseeing costs for change orders to ensure project profitability.
    • Keeping in touch with clients and team members after hand-off to ensure customer satisfaction.
    • Maintaining a very clear understanding and review of the progressive design and documents to confirm everything included in the contract documents is included in our budget to the client so there are no misinterpretations.
    • Chair project meetings both internally and externally.
    • Prepare and distribute meeting agendas and minutes.
    • Manage the design and documentation process to a budget.
    • Follow up on outstanding items to ensure tasks assigned are completed.
    • Research client recommendations and provide results in a timely basis.
    • Interpret and explain plans and contract terms to administrative staff, workers, and clients.
    • Provide value engineering suggestions.
    • Plan, organize and consult concerns with the construction and maintenance of structures, facilities, and systems.
    • Study job specifications to determine appropriate construction methods.
    • Provide frequent reporting to the client keeping them informed of overall project issues including budget and schedule statuses.
    • Confer with project personnel, owners, contractors, and design professionals to discuss and resolve matters that arise during the pre-construction process.
    • Identify critical path items to ensure timely project completion for the project delivery team.
    • Projects are typically located within the tri-state area but may be outside of that area and travel may be required.
  • Administrative Responsibilities
    • Prepare proposals for AY services, including developing fee structure.
    • Oversee assistant project manager, pre-construction project manager, and construction project manager assigned to project(s) for which you are responsible, providing direction and mentorship.
    • Develop knowledge of internal processes and procedures for tracking and documenting projects.
    • Ensure internal project paperwork is accurately prepared (AY contracts and invoicing, etc.).

Qualifications

Skills & Attributes:

  • Proficient in Microsoft Word, Excel, Outlook, PowerPoint, and Project.
  • Smart Sheet, PlanSwift, Autodesk AutoCAD/Revit/Build/Takeoff, Emscape, Building Connected, ProEst, RSMeans, AIA Contracts.
  • Effective written and oral communication skills.
  • Knowledge of business and management principles for providing customer service.
  • Knowledge of advanced economic and accounting principles.
  • Familiar with design techniques and principles.
  • Thorough understanding of the design process with ability to manage development of, read and comprehend architectural and engineering plans, and provide value engineering recommendations.
  • Knowledge of construction materials, methods, and tools.
  • Excellent organization and supervisory skills.
  • Critical thinking skills and ability to problem solve.
  • Use of good judgment and negotiation skills.
  • Ability to work closely with, manage, and influence a team.
  • Willingness to be flexible.
  • Works with integrity, dependability, and cooperation.

Education & Experience Required:

  • High School diploma or equivalent required.
  • College degree preferred, advanced degree a plus.
  • Minimum ten (10) to fifteen (15) years project management, Owners Representative, construction estimating and budgeting, workplace/ground-up mixed use projects or related experience throughout the entire project process.
  • CP and PMP Certification preferred.
  • Virtual design and construction experience preferred.
  • LEED Accreditation a plus.

Other Requirements:

  • Drive and determination to do whatever it takes to keep a project on schedule.
  • Willingness to travel to and work at client locations and job sites in various stages of construction.
  • Valid Driver’s license and ability to rent a car if needed to travel to sites not accessible by public transportation.
  • Ability to walk job sites before, during and after construction. Including walking several flights of stairs, occasionally climbing of ladders.
  • This is a full-time position on-site.
