Overview

We are currently seeking an Operations Manager to manage and oversee our office in Ft. Lauderdale, FL.  The Operations Manager reports to the General Manager and is responsible for ensuring timely and successful responses to all property assistance requests, including housekeeping, repairs, and landscaping. This role involves managing project administration, overseeing work orders, setting priorities, and supporting the General Manager in maintaining the property’s facilities. Additionally, the Operations Manager helps plan, contract, and manage capital projects while adhering to capital and/or common area budgets.

Responsibilities

Key Duties and Responsibilities that will be measured for performance:

 

  • Schedule and coordinate work orders while maintaining a consistently high level of quality.
  • Maintain, monitor, replace, and repair systems as necessary, including electrical, plumbing, HVAC, carpentry, lighting, drywall, concrete, and painting. Perform preventive maintenance according to manufacturers’ standards.
  • Oversee the operation, repair, and maintenance of HVAC, mechanical, building automation systems (BAS), electrical systems, fire/life safety systems, computerized maintenance management software (CMMS), generators, and other building equipment.
  • Supervise service contract employees and ensure inventory systems, records/files, Material Safety Data Sheets, supplies, tools, and equipment are well-maintained.
  • Ensure jobs are performed in accordance with applicable standards, policies, and regulatory guidelines (e.g., OSHA) to promote a safe working environment.
  • Ensure the center’s overall appearance and cleanliness meet management and client standards. Report any tenant issues related to site cleanliness, safety, or vendor quality control to the General Manager.
  • Maintain vendor and contractor files, spec out, bid, and prepare facilities-related vendor, service, and construction contracts for General Manager execution. Track contract and insurance expiration dates and notify the General Manager accordingly. Ensure all vendors and contractors meet insurance requirements before accessing the property.
  • Monitor tenant compliance with vendor requirements in their lease agreements.
  • Assist in monitoring and managing the performance of the Security Contractor.
  • Establish and maintain positive and effective tenant relations.
  • Assist the General Manager in developing and managing annual CAM and capital budgets.
  • Ensure compliance with local, state, and federal laws related to property operations, such as fire safety and hazardous materials access.
  • Help the property team to control expenses, code invoices, and research billing discrepancies to support center maintenance.
  • Coordinate property access for contractors, architects, and others, including vacant spaces. Complete design/MEP review of prospective tenants with the assistance of licensed engineering firms and design representatives.
  • Work extended hours, including weekends, as necessary to achieve desired results for the center, including emergency response.

Qualifications

• Bachelor’s degree (B.S. or B.A.) in Construction Management, Engineering, or a related field, or equivalent education and experience.
• Minimum of three (3) years of construction/maintenance experience, including operations management, preferably in a retail environment (e.g., mixed-use property, mall, strip center, lifestyle center, etc.).
• Ability to provide clear and concise instructions to a diverse group, including peers, contractors, vendors, and tenants.
• Experience in working with and maintaining HVAC equipment is highly desirable.
• Proven management capabilities.
• Excellent verbal and written communication skills.
• Proficiency in Microsoft Office Suite (Word, Excel, and Outlook).
• Strong organizational skills to manage day-to-day operations and capital projects for retail/office/residential properties.
• Valid driver’s license.
• Must own or lease a vehicle with current insurance coverage.
