Overview

Avison Young is looking for a Lease Administrator to perform lease administration functions for various clients.   This person must understand the basics of Lease Administration and will be a key player in ensuring accuracy and management of clients’ lease information.  Position location is flexible.

Responsibilities

  • Abstract leases relative to client specific lease information including various clauses and options as well as free rent, prepaid rent, security deposits, etc.
  • Data entry and validation of new lease information into lease administration database
  • Ongoing maintenance of database lease information and abstracts upon the occurrence of amendments, new locations, expirations, etc.
  • Update recurring charges (rents, CAM estimates, etc.)
  • Review CAM and other escalations & real estate tax invoices
  • Reconcile invoices and resolve billing discrepancies; and identify any potential savings or discrepancies.
  • Create and conduct audit/year-end reconciliation functions along with tracking savings.
  • Continuous monitoring, tracking, and reporting of critical dates to client.
  • Ensure accurate reporting and reconciliation of information, and foster critical relationships our clients.
  • Generate and distribute monthly, quarterly and/or annual client reports, ad hoc reports and conduct research related to client requests for information.
  • Create rent variance report for rent payment processing as necessary.
  • Set-up and maintain reminders for portfolios.
  • Establish and maintain relationships with both internal/external clients.
  • Assist in new client set-ups (when needed)
  • Review client estoppels and provide comments on issues or errors (if applicable).
  • Keep on top of tasks and will remain agile, as you'll often need to reorganize your time day to day, to deal with your team's changing necessities and requests.
  • Attend database training as necessary.
  • Other duties as assigned.

Qualifications

  • Minimum of Associates Degree with related business focus from accredited institution; prefer Bachelor’s Degree with degree focus of business administration or other related area. Equivalent combination of education and years of business experience may be considered.
  • Years of Experience: 2 - 4 Years
  • Visual Lease, Lease Harbor, Tango, Lease Accelerator, Co-Star experience preferred
  • Proficient with Microsoft Office Suite (Word, Excel, Power Point)

  • Excellent written and verbal communication skills.
  • Ability to calculate intermediate figures; conduct financial analysis
  • Ability to comprehend, analyze, and interpret complex documents
  • Strong organizational and analytical skills. Ability to provide efficient, timely, reliable and courteous service to customers. Ability to effectively present information.
  • Work independently and within a team to build relationships and interact effectively with business partners and clients.
  • Multi-task, work successfully under pressure, and effectively prioritize and manage time and workload.
  • Willingness to take on new challenges, responsibilities, and assignments.
